Albert F. Totman Library
Meeting Room Policy
The Albert F. Totman Library meeting room is available at no charge for programs and meetings of nonprofit organizations or groups and municipal committees. Library and library affiliated programs will take priority on the schedule.
The room will accommodate 60 seated individuals with space for tables and tripods for displays. Displays of materials are not permitted on the meeting room walls.
To reserve the room, the applicant may visit or call the library at 207-389-2309 and speak with the Director. A meeting room request form, available at the library, will be required to be completed by the applicant for all scheduled events. The group or organization shall provide the Library with a Certificate of Insurance naming the Town of Phippsburg as an additional insured for meetings and events. Please drop off, mail or fax the form and insurance certificate to the library at least a week prior to the scheduled event time. The applicant must be in attendance at the event. Audio-visual equipment is available if requested at the time of scheduling. A member of the group must be responsible for the operation of the equipment.
The applicant will be responsible for any damage to library equipment, furniture, building or fixtures and for set up and clean-up of the meeting room. Please leave the room in good order.
Light refreshments, snacks and non-alcoholic beverages may be served. Electric, plug-in appliances, such as coffee pots, fry pans, grills, etc. are not allowed.
Smoking is not permitted in and around the library building.
The library is not responsible for any equipment, supplies, exhibits or any other items owned by the group or individuals used in/around/outside the library.
The event must be free and open to the public. A charge or suggested donations for the event is not permitted. The room shall not be used for any money making activities. Only the library and affiliated organizations will be permitted to sponsor events for fund raising.
If the event is scheduled during non-business hours, Individuals are not permitted in the main library building except for the use of the rest room facilities. Juveniles must be accompanied by an adult.
Failure to comply with the rules and guidelines will jeopardize future usage of the meeting room
